The Challenge of Growth

Construction is complex: multi‑site crews, shifting schedules, regulated activities, client‑specific compliance, and the constant motion of people, plant, and materials. Pro Contracting needed a better system that centralises control while staying flexible enough to scale – bringing together scheduling, job management, asset tracking, and safety into one coherent operating model that supports the billing cycle end‑to‑end.

On top of day‑to‑day execution, compliance sits front‑and‑centre. From site pre‑starts and risk assessments to incident reporting and toolbox/prestart meetings, construction companies must demonstrate strong WHS practices to regulators and to clients’ own rulesets. Pacer’s design for Pro aligns to this reality – anchored in the company’s WHS policies and procedures.

 

What Is Pro Contractings System?

(A Modular Platform Built for the Field and the Office)

Pro’s solution is a set of independent but connected modules – each excellent at a specific task – working together as a single system:

  • Desktop Owner/Admin Portal: A secure, branded, desktop experience for schedulers and managers to control work allocations, govern content (templates, playbooks, SWMS/JRAs), and oversee compliance and billing readiness. Built on the Microsoft Power Platform and portal patterns to deliver self‑service and external‑facing options when required.
  • Field Worker App (Phone‑First): A mobile Power Apps experience designed for crews: today’s jobs, site pre‑start, risk checks, asset/vehicle pre‑starts, progress updates, photos, and incidents. Offline scenarios are supported in our build approach so site teams can work through poor connectivity and sync later.
  • Scheduling & Dispatch: Resource allocation to crews and equipment with live visibility of job status—designed to reduce friction between planning and execution and to ensure downstream billing can rely on accurate, timely data.
  • Job Management: Standardised stages, checklists, and approvals keep each job moving, while structured data captures who did what, where, and when – forming the operational backbone for quality and claims support.
  • Asset & Vehicle Management: Equipment and vehicles are allocated to staff with pre‑starts, service history, and issue logs captured digitally—so plant readiness, safety, and utilisation can be measured and improved. Where measurement/calibration is needed, records and history are centralised.
  • Safety & Compliance Hub: Site pre‑starts, JRAs, incidents, and attendance/toolbox features are first‑class – not bolt‑ons – providing evidence trails for ISO/WHS and client audits. (A representative JRA output and app plan reflect our patterns.)
  • Billing Support: Because job data (time, materials, progress) is captured at the point of work, the back office receives structured records that speed invoicing and reduce queries. Reporting surfaces bottlenecks so cashflow isn’t held up by missing confirmations.


This modular composition mirrors how we build all scalable systems – each part stands alone yet connects through shared data and automation.

How Pacer Built Pro’s System

Start with the Core
We mapped the high‑frequency workflows – scheduling, job execution, pre‑starts/JRAs, and asset checks – and made them the core modules. Everything else (incidents, toolbox meetings, client‑specific forms) plugs into those foundations.

Design for Integration
All modules share a Microsoft Dataverse data model with role‑based security. That means the same records flow through scheduling → field execution → safety evidence → billing support – without manual re‑entry.

Automate Across Modules
Using Power Automate, we trigger notifications (e.g., overdue pre‑starts), update job status when safety prerequisites are met, and route incident follow‑ups – reducing admin and error.

Package for Scale
Our mobile/portal packaging and governance patterns make it straightforward to deploy updates and manage environments as Pro grows.

Real World Walkthrough: A Job Day, End to End

  1. Plan & Allocate (Desktop): Scheduler assigns crew and assets; job packs and required safety forms are auto‑attached based on client and work type.
  2. Arrive & Start (Phone): Crew completes site pre‑start and JRA; vehicle/asset pre‑start is logged with photos; non‑conformances trigger alerts.
  3. Do the Work: Progress, notes, and evidence (photos) are captured in‑app, even offline, then synced—creating the audit trail as they go.
  4. Incident? The team raises an incident on the spot and the workflow routes it for investigation and close‑out with records intact.
  5. Finish & Bill: The admin portal consolidates time, materials, and confirmations so billing can proceed without chasing paperwork.

Health & Safety First (and Always)

Construction demands demonstrable safety diligence. Pro’s system embeds WHS controls –  pre‑starts, JRAs, incidents, toolbox/attendance, and vehicle checks – to support both regulatory obligations and client‑mandated requirements. The design aligns to Pro’s WHS documentation framework and to industry‑standard controls used across our construction builds.
